Executive Administrative Assistant

Core Elements is a consulting firm that helps entrepreneurs bring structure, clarity, and execution to their businesses. We work in fast-paced, entrepreneurial environments and are looking for an Executive Administrative Assistant who is highly organized, detail-oriented, and comfortable supporting multiple priorities.
This role supports leadership and consulting teams with administrative, reporting, and basic bookkeeping tasks. The ideal candidate is dependable, self-motivated, and enjoys bringing order to busy, growing businesses.
Responsibilities:
- Manage calendars, scheduling, and meeting coordination.
- Prepare agendas, notes, follow-ups, and reminders.
- Handle professional correspondence and document preparation.
- Maintain organized digital files and records.
- Assist with preparing client reports and documentation.
- Track tasks, deadlines, and administrative follow-through.
- Support invoicing, billing, and payment tracking.
- Reconcile receipts, expenses, and basic financial records.
- Maintain organized financial documentation.
- Coordinate with external bookkeeping or accounting partners.
- Provide administrative support across multiple consulting engagements.
Requirements:
- Proven experience as an administrative or executive assistant.
- Strong organizational and time-management skills.
- High attention to detail and accuracy.
- Strong written and verbal communication skills, with the ability to provide clear daily updates to. executives on progress, priorities, and outstanding items.
- Ability to work independently and manage multiple priorities.
- Comfort working with numbers, spreadsheets, and financial records.
- Professional demeanor and discretion.
- Ability to work in a fast-paced, entrepreneurial environment.
Preferred Qualifications:
- Experience in professional services or consulting.
- Bookkeeping or accounting support experience.
- Proficiency with Microsoft Excel or Google Sheets.
- Experience using QuickBooks, Notion, or similar tools.
